1. Introduction
DealFlow AI (“DealFlow AI,” “we,” “us,” or “our”) provides lead intelligence and outreach tools. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our website, web application, and related services (collectively, the “Services”).
By using the Services, you agree to this Privacy Policy. If you do not agree, please do not use the Services.
2. Information we collect
2.1 Information you provide
- Account data: such as name, email address, and authentication identifiers when you register or sign in (including through our authentication provider).
- Profile and workspace data: such as company profile, ideal customer profile (ICP), and preferences you save in the product.
- Lead and business data: information you upload, import, or enter about companies and contacts (for example via CSV/XLSX or manual entry).
- Communications: messages you send to us (support requests, feedback) and content of outreach drafts or emails processed through the Services where applicable.
- Billing data: if you subscribe to a paid plan, our payment processor may collect billing address and payment method details; we typically receive limited billing metadata (not full card numbers).
2.2 Information collected automatically
- Usage and device data: such as IP address, browser type, approximate location derived from IP, pages viewed, and timestamps.
- Cookies and similar technologies: as described in our Cookie Policy.
2.3 Information from third parties
- Authentication provider: when you sign in with a third-party identity provider, we receive information they make available (such as email and profile identifiers) according to your settings with that provider.
- Enrichment and research services: where you enable features that rely on web or business data providers, we may receive professional or public information about companies or contacts consistent with those providers’ terms and applicable law.
3. How we use information
We use information to:
- Provide, operate, maintain, and improve the Services;
- Create and manage your account and authenticate you;
- Run AI-assisted analysis, scoring, recommendations, and outreach features you request;
- Send transactional messages (e.g. security notices, product updates relevant to your account);
- Process payments and manage subscriptions;
- Detect, prevent, and address fraud, abuse, and security issues;
- Comply with legal obligations and enforce our Terms of Service;
- Analyze aggregated or de-identified usage to understand how the Services are used.
4. AI processing
Certain features send content (for example, company descriptions, prompts, or message drafts) to AI model providers to generate analysis or text. We configure processing to support the feature you triggered. Do not submit sensitive personal data (such as health information or government-issued ID numbers) unless a feature explicitly requires it and you choose to provide it.
5. How we share information
We may share information with:
- Service providers who assist us (hosting, database, authentication, email delivery, analytics, payment processing, AI inference, and customer support tools), subject to contractual confidentiality and security obligations;
- Professional advisors (lawyers, accountants) where necessary;
- Authorities when required by law or to protect rights, safety, and security;
- Business transfers in connection with a merger, acquisition, or sale of assets, with notice as required by law.
We do not sell your personal information as “sale” is commonly understood for targeted advertising.
6. International transfers
We may process information in countries other than where you live. Where required, we use appropriate safeguards (such as standard contractual clauses) for cross-border transfers.
7. Retention
We retain information for as long as your account is active and as needed to provide the Services, comply with law, resolve disputes, and enforce agreements. Retention periods may vary by data category and legal requirements.
8. Security
We implement technical and organizational measures designed to protect information. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
9. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, or export personal information; object to or restrict certain processing; and withdraw consent where processing is consent-based. You may also have the right to lodge a complaint with a supervisory authority.
To exercise rights, contact us using the details below. We may need to verify your request. You can also adjust certain settings in your account or browser (for example, cookie preferences).
10. Children
The Services are not directed to children under 16 (or the age required in your jurisdiction). We do not knowingly collect personal information from children. Contact us if you believe we have collected such information.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version and update the “Last updated” date. For material changes, we may provide additional notice (such as email or an in-product notice).
